What is hospitality POS software?
It is the program that records orders, sends tickets to the kitchen and issues the fiscally valid receipt. In hospitality it differs from a retail POS in that it has to handle tables, kitchen passes, bill splitting and per-dish modifiers.
The usual confusion is between the software and the machine. The physical POS is metal: touchscreen, drawer and printer. The software is what decides whether your waiter takes three seconds or thirty to enter a round. You can change the second without touching the first, and that is exactly the part almost nobody tells you when you go to buy a POS.
Do you have to buy new hardware to use a cloud POS?
No. A cloud POS runs in the browser, so any device with a screen will do: an Android tablet, an iPad, a Windows laptop or the waiter's own phone. The thermal printer you already have usually works as is, connected over USB, Ethernet or Bluetooth.
Here is what we learned setting it up for real. In a bakery with a café we installed Mesapp on what was already there: an Android device at the counter and a Windows 10 machine in the back. It worked on both from day one, but two things needed adjusting. First, the receipt margins, because the print width did not match and the text came out misaligned. The second is the one that surprised us most: enabling the automatic paper cut. The printer had a cutter all along, and the previous POS had never configured it. They had spent months cutting receipts with scissors, convinced their printer could not cut.
That is the part that appears in no catalogue. Changing software is usually not about buying machines, it is about discovering what the machines you already paid for could do and nobody switched on.
How much does hospitality POS software cost per month?
At Mesapp, between €29 and €119 a month on annual billing (€45 to €149 on monthly billing), depending on the size of the business. The price is published and there is no commission on what you sell. The trial is 14 days and does not ask for a card.
| Plan | Annual billing | Monthly billing | For whom |
|---|---|---|---|
| Digital | €29/mo · €348/yr | €45/mo | Digital menu and QR ordering, no floor management |
| Restaurant | €59/mo · €708/yr | €79/mo | One venue with floor, kitchen and stock control |
| Group | €119/mo · €1,428/yr | €149/mo | Several venues with a central dashboard |
Prices exclude VAT.
Compare it with two costs that are not always visible. One, the hardware: if the equipment you have works, that upfront outlay disappears entirely. Two, the commission per order: platforms that take a percentage of every QR order cost you more the better you do, exactly the opposite of what you want. Here, 100% of what you sell by QR is yours.
Does the POS work if the internet goes down?
Yes. Mesapp is a progressive web app that saves orders on the device when there is no connection and syncs on its own as soon as it comes back. You keep taking orders and charging.
It is the question that comes up most, and it makes sense: a packed bar with the wifi down cannot stop for fifteen minutes. It is worth testing it yourself before deciding, in your venue and with your coverage, not in a sales demo on fibre.
Which POS software complies with VeriFactu and from when is it mandatory?
Mesapp issues receipts with the verifiable QR code and chains the records so they cannot be altered without a trace. On the deadline, there are two different dates and they get confused constantly.
One is for whoever makes the software and has already passed. The other is yours, and it is still to come. According to the Spanish Tax Agency, after the postponement approved by Royal Decree-Law 15/2025, entities that file Corporate Income Tax must have their billing systems adapted before 1 January 2027, and all other taxpayers before 1 July 2027.
In your case: if your bar is a limited company, it applies in January 2027. If you are a sole trader, in July 2027.
And a note on the industry vocabulary, because you will run into it. Nobody is "certified by the Tax Agency": that figure does not exist. Article 13 of Royal Decree 1007/2023 places on the software producer the obligation to certify, through a responsible declaration, that its software complies with the regulation, and that declaration must appear in writing and visibly within the program itself. If a salesperson shows you an AEAT seal, ask for the responsible declaration and compare.
How much more does a restaurant sell with table-side ordering?
The most robust study on table-side ordering was published by Tom F. Tan (Southern Methodist University) and Serguei Netessine (Wharton) in Management Science in 2020. They analysed 2.6 million checks from 66 restaurants that rolled out table-side ordering devices in a staggered way, which let them isolate the causal effect. They measured that the average check rises by around 1%, but that the meal lasts about 10% less, so that sales per minute of occupied table go up by around 11%. The study looked at fixed tablets on the table; Mesapp applies the same principle from the customer's phone with a QR code.
The gain is not that each customer spends much more, but that the table frees up sooner. On a Saturday with a waiting list, that is one more round.
Speed and reliability
Does the same POS work for a bar, a café and a pizzeria?
The engine is the same, but the checkout screen should not be. A bar needs speed at the counter, a café breakfast combos and a pizzeria per-ingredient modifiers and a kitchen screen.
At Mesapp that is configured, not programmed. You choose the business type and the interface adapts: where the most-used buttons sit, what is asked when adding a product and what is sent to which printer. If you have several venues, the Group plan links them in one dashboard with a unified menu and role-based permissions.
Visual, intuitive interface
Large buttons, product photos and clear modifiers. Your waiters use it with no training and make fewer mistakes on orders.
QR ordering from the table, no app
The customer scans, orders and pays from their phone with nothing to download. The order goes straight to the kitchen and your POS.
Kitchen display (KDS)
Orders reach the kitchen on a screen, with times and stations. Less paper, less shouting and fewer forgotten dishes.
Start by trying it at your counter
You do not have to take our word for it or buy anything. Open the demo, enter an order and see how many taps it takes. If it convinces you, the 14-day trial runs with no card and you can set it up on the equipment you already have.
